The ChessBase Compliance Hotline is a confidential reporting channel for employees, business partners and third parties. It exists to protect our company, colleagues, and the integrity of the game we serve.

What is the Compliance Hotline?

The Compliance Hotline is intended exclusively for reporting possible violations related to issues of ethics, compliance, compliance with anti-corruption standards, financial offenses and other violations of the compliance policy of ChessBase GmbH.

Reporting misconduct

Employees, business partners, third parties, and other stakeholders who become aware of cases of bribery, corruption, fraud, theft, abuse of authority, harassment, or any other potential violations of the law, the Code of Ethics and Business Conduct, or the internal documents of ChessBase GmbH may report them through the Compliance Hotline.

Ethical principles

At our company, honesty is more than just a word — it is a core value. Openness, responsibility, and trust form the foundation of everything we do, from internal operations to our relationships with clients and partners. If you witness a situation that could harm the company's reputation, or negatively affect employees, clients, or partners, please report it. We operate a 24/7 hotline that guarantees full anonymity and security.

Guarantee of confidentiality and non-retaliation

The applicant's personal data (if the applicant provides it) will be processed in accordance with data protection legislation, including but not limited to the EU General Data Protection Regulation (GDPR) on the protection of personal data, to which the applicant gives his consent by sending a request. If desired, the applicant may submit the report anonymously.

1What is the Whistleblowing Policy?

The Whistleblowing Policy outlines the principles and procedures that enable employees, counterparties and other stakeholders to safely and confidentially report any identified or suspected violations related to the Company's activities to the relevant responsible parties.

2Examples of violations
  • Corruption and fraud: bribery, corrupt business practices, corporate fraud, manipulation of financial data and reporting;
  • Violation of laws and internal rules: non-compliance with regulatory requirements, internal policies and procedures of the Company;
  • Data leakage and cyber threats: illegal dissemination of personal data, transfer of confidential information to third parties, cybersecurity threats, unauthorized access to Company systems;
  • Unethical behavior: abuse of office, illegal use of Company resources, violation of business ethics;
  • Discrimination and harassment: any form of discrimination, blackmail, threats to the health, safety, and well-being of employees;
  • Violation of sustainable development principles: non-compliance with environmental responsibility and other principles of sustainable development;
  • Negligence: actions or omissions that cause damage to the Company's property, employees, customers, or reputation;
  • Conflict of interest: situations in which personal interests of an employee conflict with the interests of the Company;
  • Violation of antitrust laws: breaches of fair competition rules;
  • Violation of sanctions or export control requirements: failure to comply with sanctions regimes or export control regulations;
  • Concealment of violations: actions aimed at preventing the detection or investigation of misconduct.
3Objectives of the Whistleblowing Policy
  • Fostering a corporate culture of openness and responsibility: establishing an environment in which employees and other stakeholders can safely report cases of misconduct, fraud, corruption, and other inappropriate actions in accordance with this Policy;
  • Providing accessible reporting channels: providing convenient and secure methods for submitting reports, including anonymous reports, in-person meetings, or the use of electronic communication channels;
  • Ensuring proper handling of complaints: every report is handled with full respect for confidentiality and transparency.

The Company shall:

  • Check the facts specified in the report;
  • Take measures to prevent further violations;
  • Initiate disciplinary actions where necessary;
  • Provide feedback in accordance with the established procedure.
4Is it possible to report a violation anonymously?

Any report can be submitted anonymously. The anonymity of the Whistleblower is guaranteed in accordance with local laws.

5What is the liability for submitting a knowingly false report?

Submission of knowingly false reports is considered a serious violation. If the facts of providing knowingly false information are confirmed, the Company may apply disciplinary measures or refer the case to law enforcement authorities in accordance with applicable law.

6Is there a regulatory timeframe for review?

Within five (5) working days from the date a report is received, a Compliance Officer will determine whether to accept the report for review, leave it without consideration, or reject it if there are no indications of a violation or if the initial information is insufficient.

The duration of the subsequent review may vary depending on the scope of the case, the level of risk, and any newly discovered information.

The total review period shall not exceed 60 business days from the date the report is received.

7What information should be provided in the report?

The report must be objective, unbiased, and contain all relevant information, including the grounds for concern. Where applicable, any supporting documents that may substantiate the reported facts should be attached.

8What is the difference between anonymous and confidential modes?

In anonymous mode, the Whistleblower's identity is not known to the Company and cannot be determined through the platform. All communication with the investigator is conducted without revealing any identifying information.

In confidential mode, the Whistleblower's identity is known but is disclosed only to a limited number of authorized individuals involved in handling the case. This information will not be shared with other employees not directly engaged in the review.

9How is Whistleblower anonymity ensured?

Anonymity is guaranteed only when reports are submitted through the Whispli website.

When submitting a report, you can choose to remain anonymous or, if you prefer, voluntarily provide your name, email address, or other contact details.

After submitting the report, you will receive a unique link, a system-generated username (a nickname such as “Funny Zebra”), and a password. These credentials allow you to log in later and securely communicate with the investigator through a dedicated chat on the platform without revealing your identity.
